Providing Equipment for Digitizing Herbarium Collection of UUH and Materials for further Processing Plant Specimens
Russia
Database, Digitally image, Process backlog
Cost (USD):
2000
UUH
Institute of General and Experimental Biology SB RAS
Objective:
The first project’s objective is providing the opportunity to digitize plant specimens stored in the Herbarium of the Institute of General and Experimental Biology SB RAS (UUH). The second important objective is providing basic materials for plant specimens processing before inserting into the Herbarium collection.
Timetable:
1. Purchase and setup of equipment for digitizing and barcoding. April 2020.
2. Digitizing herbarium specimens. May 2020 – to be continued. We suppose that about 30 specimens every working day could be scanned and stored in the DataBase. In this case, the department of vascular plants would be completed in about 2.5 years. Thereafter, departments of mosses and lichens would be digitized. We suppose that it will take about 1 year. However, due to the Herbarium collection permanently enriches, the project promises to be endless.
3. Purchase mounting paper and glue. April 2020.
4. Plant specimens processing: Dried plants mounting and labels printing. The amount of specimens processed per day depends on the size and rigidity of dried plant individuals. We suppose that 16 to 32 specimens could be processed per day, with the median 24 specimens. Consequently, we suppose that it will take about 2 years to complete the processing and inserting still non-processed vascular plants. It will take approximately the same period to complete processing mosses and lichens. However, the situation in the latter departments is more complicated because of deficit of well-trained technicians.
Scoring Rubric
Reviewer's name:
Collection Improvement (max. 120 points)
-
Facilitating access to the physical collections by digitization (e.g., data entry, setting up database structure with an outline of the platform to be used, purchasing equipment, and imaging specimens) – up to 30 points.
-
Enhancing physical collections by improving the conservation status of specimens in the herbarium (e.g., better folders, protecting covers, mounting paper, labeling, etc.) – up to 30 points.
-
Curating specimens (e.g., updating families, species identification, identifying types) – up to 20 points.
-
Increasing our understanding of the flora or funga by making new herbarium specimens available, such as processing of backlog or collecting and mounting of new specimens from understudied sites – up to 20 points.
-
Securing collections by distribution of duplicates (or orphan collections) to other regional or international herbaria or shipping endangered collections to another herbarium – up to 20 points.

Methods & Funding (max. 40 points)
-
Match between the proposed budget and methods for the aims described – up to 10 points.
-
Perceived need, the extent to which the project will benefit from IAPT funding: e.g., due to active floristic work or contribution to poorly collected sites, due to threatened conditions of collections, and for the degree of involvement of others (outreach and education). We give more points for herbaria in low- and middle-income countries – up to 20 points.
-
Sharing duplicate specimens with other herbaria – up to 10 points.
This proposal scores:
/40
Broader Impacts (max. 40 points)
-
Degree of regional importance of the collection or the taxonomic importance of the targeted collection – up to 10 points.
-
The project will yield durable benefits (specimens, digitized metadata, databases, websites) – up to 15 points.
-
The project involves outreach/mentoring and broad dissemination – up to 15 points.

Plan:
We plan to buy the scanner “Fujitsu ScanSnap SV600” in order to provide the UUH collection digitizing and the open DataBase of specimen images. This kind of scanner does not require any additional illumination and doing a scan of the samples without touching them. This kind of scanner is for sale in the local trade centers. We intend to digitize all plant specimens in the UUH, including departments of Vascular Plants, Mosses, and Lichens.
In order to meet modern requirements, each herbarium specimen will be glued with an individual barcode. That is why we also need to buy a special barcode-label printer. In order to store the specimen digital images in the DataBase the external hard drives are required, both for the main Data Base and for the backup.
We still have a lot of unprocessed plant specimens – approximately more than 10 000 of vascular plants, more than 5 000 mosses and lichens. In order to provide successful processing, we need in mounting paper supply as well as glue. In case this application will be supported, we will be able to get enough mounting paper and glue supply. The suitable sorts of paper and glue are for sale in the local trade centers.
In general, digitizing and processing plant specimens will be carried out by the staff of the laboratory of Floristics and Geobotany of the Institute of General and Experimental Biology SB RAS. However, in order to intensify the process, we intend to take Buryat State University students as short-time employees.
