Promoting digitization and conservation of specimens in a growing herbarium in the easternmost Amazon, Maranhão, Brazil

Brazil

Digitally image, Process backlog, Conserve

Cost (USD):

2000

SLUI

Universidade Estadual do Maranhão

Objective:

The Rosa Mochel Herbarium (SLUI) is one of the most representative biological collections of the easternmost Amazon, with a constant income of specimens. Almost 100% of specimens are informatized but only ca. 25% are digitized. Due to local climatic conditions, i.e., high temperatures and air humidity, maintenance of appropriate environment for preserving specimens is a challenge. The main objectives are to promote digitization and database curation of the whole collection (ca. 6000 specimens); reduce the backlog of newly collected material; and improve preservation of stored specimens

Timetable:

We expect to complete digitization of all 6000 incorporated specimens plus ca. 1500 new specimens and curate database and all specimens within 2 years (24 months).

Month 1 - Integrating new computer with imaging station; instaling dehumidifier in the main collection; placing cabinets near the imaging station.

Month 1 - 6 - Digitize and curate 1000 specimens; incorporate 500 new specimens

Month 7 - 12 - Digitize and curate 1000 specimens; incorporate 500 new specimens

Month 13 - 18 - Digitize and curate 1000 specimens; incorporate 500 new specimens

Month 19 - 24 - Digitize and curate 3000 specimens.

Scoring Rubric

Reviewer's name:

Collection Improvement (max. 120 points)

  • Facilitating access to the physical collections by digitization (e.g., data entry, setting up database structure with an outline of the platform to be used, purchasing equipment, and imaging specimens) – up to 30 points.

  • Enhancing physical collections by improving the conservation status of specimens in the herbarium (e.g., better folders, protecting covers, mounting paper, labeling, etc.) – up to 30 points.

  • Curating specimens (e.g., updating families, species identification, identifying types) – up to 20 points.

  • Increasing our understanding of the flora or funga by making new herbarium specimens available, such as processing of backlog or collecting and mounting of new specimens from understudied sites – up to 20 points.

  • Securing collections by distribution of duplicates (or orphan collections) to other regional or international herbaria or shipping endangered collections to another herbarium – up to 20 points.

Methods & Funding (max. 40 points)

  • Match between the proposed budget and methods for the aims described – up to 10 points.

  • Perceived need, the extent to which the project will benefit from IAPT funding: e.g., due to active floristic work or contribution to poorly collected sites, due to threatened conditions of collections, and for the degree of involvement of others (outreach and education). We give more points for herbaria in low- and middle-income countries – up to 20 points.

  • Sharing duplicate specimens with other herbaria – up to 10 points.

Broader Impacts (max. 40 points)

  • Degree of regional importance of the collection or the taxonomic importance of the targeted collection – up to 10 points.

  • The project will yield durable benefits (specimens, digitized metadata, databases, websites) – up to 15 points.

  • The project involves outreach/mentoring and broad dissemination – up to 15 points.

Plan:

Six undergraduate interns will help us in all steps, under supervision of A.V. Scatigna (research fellow), F.H. Muniz (Curator) and A.M.M. Leite (associate curator). Digital imaging of specimens will be made in our imaging station, which currently lacks an integrated computer. During digitization, specimens will be removed from the collection by family and will be stored in the new storage cabinets. When necessary, specimens will be repaired and barcode and label information will be confronted with local database for updates. Incoming material will be mounted and undergo informatization and digitization prior to incorporation. The new dehumidifier will be instaled in the main collection to improve control of humidity.
