Enhancing management of the spirit collection in REU Herbarium

Objective:
1- Improve storage conditions of the flower samples in alcohol in REU Herbarium ;
2- Digitize data associated with the alcohol samples in order to integrate them into the REU herbarium database ;
3- Improve internal management using a database management software ;
4- Publish the data of the spirit collection on the REU herbarium website (https://collections-umr-pvbmt.cirad.fr/).
Timetable:
The project will be carried out mainly over five weeks:
- Week of March 28, 2022: order the necessary bottles and alcohol and recruit the person who will be in charge of the tasks mentioned above ;
- From April 25 to May 13, 2022: repackaging and data entry;
- From May 16 to 31, 2022: formatting, importing into the database and uploading data on the REU herbarium management website.

The REU Herbarium has over 20,000 specimens. Despite the importance of the collections it contains, the REU herbarium lacks financial resources and manpower. Most of the herbarium sheets were digitized in 2017. However, the alcohol samples (around 1500 jars) are stored in containers which are not suitable for long-term storage. Furthermore, data associated with these samples are not digitized.
In order to achieve the above-mentioned objectives, we will need to purchase glass jars with seal caps to repackage the samples.
We will then have to recruit a person to transfer the samples to the appropriate containers and adjust the alcohol level. The person will also assign a collection number (barcode) and digitize the metadata associated with the samples. The location of each sample in dedicated explosion-proof refrigerators will also be standardized. The managers of the REU Herbarium will then be able to import data into the database (via Biolomics software) and publish them online.
All samples from the spirit collection will be processed if the grant allows it. Otherwise, the tasks will be performed for the orchid samples on a priority basis.
