Increasing specimen processing, online publication and educational purposes at the SAMES herbarium, located in the Brazilian Atlantic Forest hotspot
Brazil
Database, Digitally image, Process backlog, Conserve, Other
Cost (USD):
2000
SAMES
Centro Universitário do Norte do Espírito Santo, Universidade Federal do Espírito Santo
Objective:
The Herbarium SAMES comprises a collection of ca. 11.500 specimens, mostly from north of Espírito Santo State, Southeast Brazil, one of the richest areas of the Atlantic Forest hotspot, with multiple new species described. Thus, it is very important to process, preserve and provide digital images of all specimens stored, together with trained people to provide educational activities in the collection. The grant will be invested in the following improvements:
1) Process and database all specimens using JABOT v.3 and provide online;
2) Provide manpower for educational activities in the collectio
Timetable:
1) We estimate two weeks to adquire the mounting paper;
2) We estimate 1 month for training the two interns; 6 months to digitize the collection using JABOT (http://jabot.jbrj.gov.br/v3/consulta.php) and provide the records online. We expect to digitize 220 specimens/week;
3) Conservation practises (e.g. removing exceeding paper, changing cover paper or sheet) will take place when manipulating specimens during digitizing. It will be performed simultaneously with digitizing process.
4) We estimate 2 months for mounting and incorporate unmounted specimens in the collection.
Considering that any loss or damage to specimens is a tragic event because of the unique nature of the collections, we are convinced that the Herbarium SAMES and its associated collection will be greatly benefited if granted.
Scoring Rubric
Reviewer's name:
Collection Improvement (max. 120 points)
-
Facilitating access to the physical collections by digitization (e.g., data entry, setting up database structure with an outline of the platform to be used, purchasing equipment, and imaging specimens) – up to 30 points.
-
Enhancing physical collections by improving the conservation status of specimens in the herbarium (e.g., better folders, protecting covers, mounting paper, labeling, etc.) – up to 30 points.
-
Curating specimens (e.g., updating families, species identification, identifying types) – up to 20 points.
-
Increasing our understanding of the flora or funga by making new herbarium specimens available, such as processing of backlog or collecting and mounting of new specimens from understudied sites – up to 20 points.
-
Securing collections by distribution of duplicates (or orphan collections) to other regional or international herbaria or shipping endangered collections to another herbarium – up to 20 points.

Methods & Funding (max. 40 points)
-
Match between the proposed budget and methods for the aims described – up to 10 points.
-
Perceived need, the extent to which the project will benefit from IAPT funding: e.g., due to active floristic work or contribution to poorly collected sites, due to threatened conditions of collections, and for the degree of involvement of others (outreach and education). We give more points for herbaria in low- and middle-income countries – up to 20 points.
-
Sharing duplicate specimens with other herbaria – up to 10 points.
This proposal scores:
/40
Broader Impacts (max. 40 points)
-
Degree of regional importance of the collection or the taxonomic importance of the targeted collection – up to 10 points.
-
The project will yield durable benefits (specimens, digitized metadata, databases, websites) – up to 15 points.
-
The project involves outreach/mentoring and broad dissemination – up to 15 points.

Plan:
The Herbarium SAMES holds vascular and avascular specimens, including fungi, from the Atlantic Forest hotspot. The University provides the space with air conditioning and cover the costs for field expeditions and specimen shipping. As the collection lacks an herbarium technician, it depends exclusively on the work of professors and students that are responsible for processing, digitalizing and ensuring educational activities for high school and college students. Professors and students are involved in other activities as teaching or having classes and working on their own scientific projects, and cannot deal entirely with the high curation demand. With the increase of recent gatherings, the situation has complicated, as there are ca. 1.200 specimens needing to be mounted, together with most of the collection that still lacks databasing and photographing. Additionally, SAMES is currently lacking funds to acquire sheets to mount the specimens. Without the manpower and supply needed, the herbarium specimens will not be available online and the unmounted gatherings are susceptible to deterioration, as they are not conditionate in the climatize collection and can be target by bugs. Finally, without manpower, educational activities, always present in SAMES herbarium, cannot occur with greater regularity. If the money is granted it will be converted in two undergrad scholarships with 9 months duration each and sheets to mount the material.
