Digitization of mycological collection of V.N Karazin Kharkiv National University herbarium (Ukraine)

Ukraine

Cost (USD):

Objective:

The mycological part of the V. N. Karazin Kharkiv National University herbarium CWU (Myc) contains about 30 000 fungal specimens including type materials and rare exsiccates. Recently we started mobilizing our collection and have already databased 5922 specimens available through GBIF, but we are missing digital macro-photos.
The main objectives we set up are (i) to establish a first full-equipped fungal digitization facility in Ukraine; (ii) to digitize all the type specimens stored in CWU (Myc) herbarium; (iii) to digitize the most valuable exsiccates and contemporary specimens.

Timetable:

January – May 2021: macro-photos capturing, manual data extraction from labels to database, scanning the labels, photo editing and post processing. At this stage herbarium technicians will be engaged.
June – August 2021: data verification, cleaning and georeferencing, as well as nomenclatural revision, led by curator of CWU (Myc) herbarium and research staff of the Department of Mycology and Plant Resistance of the University.
September – October 2021: uploading data to the PlutoF collection management system, updating the GBIF dataset, generating and mounting barcodes.

Scoring Rubric

Reviewer's name:

Collection Improvement (max. 120 points)

  • Facilitating access to the physical collections by digitization (e.g., data entry, setting up database structure with an outline of the platform to be used, purchasing equipment, and imaging specimens) – up to 30 points.

  • Enhancing physical collections by improving the conservation status of specimens in the herbarium (e.g., better folders, protecting covers, mounting paper, labeling, etc.) – up to 30 points.

  • Curating specimens (e.g., updating families, species identification, identifying types) – up to 20 points.

  • Increasing our understanding of the flora or funga by making new herbarium specimens available, such as processing of backlog or collecting and mounting of new specimens from understudied sites – up to 20 points.

  • Securing collections by distribution of duplicates (or orphan collections) to other regional or international herbaria or shipping endangered collections to another herbarium – up to 20 points.

Methods & Funding (max. 40 points)

  • Match between the proposed budget and methods for the aims described – up to 10 points.

  • Perceived need, the extent to which the project will benefit from IAPT funding: e.g., due to active floristic work or contribution to poorly collected sites, due to threatened conditions of collections, and for the degree of involvement of others (outreach and education). We give more points for herbaria in low- and middle-income countries – up to 20 points.

  • Sharing duplicate specimens with other herbaria – up to 10 points.

Broader Impacts (max. 40 points)

  • Degree of regional importance of the collection or the taxonomic importance of the targeted collection – up to 10 points.

  • The project will yield durable benefits (specimens, digitized metadata, databases, websites) – up to 15 points.

  • The project involves outreach/mentoring and broad dissemination – up to 15 points.

Plan:

Besides label processing, which has already started, we would like to accompany database records with high-quality digital images of both macro- and, in some cases, microstructures.
We are going to establish a full-equipped fungal digitization facility including a light microscope and a stereomicroscope with digital cameras, label scanner, and a PC. Most of the required equipment, as well as staff time, is provided by the University, except stereomicroscope with a digital camera, which is needed for high-quality macro-photo capturing of fungal specimens.
Three types of activities will be carried out in parallel: macro-photography of specimens, manual scanning of original labels and data extraction from original labels to the database.
After that, data verification, cleaning and georeferencing, as well as nomenclatural revision, will be conducted. Verified data will be uploaded in PlutoF online collection management system and further end up in CWU (Myc) herbarium dataset in GBIF. Since PlutoF workbench is well-integrated with GBIF, all the images will be displayed in original quality at GBIF portal. Postprocessing will include labelling of each digitized specimen with the barcode, generated from specimen’s URL in PlutoF.
