Digitalization of the Regional Herbarium of Kerala
India
Database, Digitally image
Cost (USD):
2000
RHK
St. Berchmans College, Changanassery, Kerala
Objective:
Regional Herbarium of Kerala (RHK) housed in the Department of Botany, St. Berchmans College, Kerala, India was established in 1984. The Herbarium contains 10281 accessions representing the angiosperm diversity in the state of Kerala. Taxonomy research scholars from all over the state use this rich resource for their study. Digitalizing the herbarium sheets and making a database which can be accessed from anywhere on the Globe is the objective of this project. The database will be added to St. Berchmans College website as an external link which can be accessed through the internet.
Timetable:
Month 1 - Month 6: Setting up of the scanning facility, manual scanning and barcoding
Month 7 - Month 8: Content creation and Data digitization
Month 9 - Month 10: Image Editing and Data incorporation; Search code writing
Month 11 - Testing of the database and the search facility; corrections if required
Month 12 - Opening of the digital herbarium and associated database to the academic community
Scoring Rubric
Reviewer's name:
Collection Improvement (max. 120 points)
-
Facilitating access to the physical collections by digitization (e.g., data entry, setting up database structure with an outline of the platform to be used, purchasing equipment, and imaging specimens) – up to 30 points.
-
Enhancing physical collections by improving the conservation status of specimens in the herbarium (e.g., better folders, protecting covers, mounting paper, labeling, etc.) – up to 30 points.
-
Curating specimens (e.g., updating families, species identification, identifying types) – up to 20 points.
-
Increasing our understanding of the flora or funga by making new herbarium specimens available, such as processing of backlog or collecting and mounting of new specimens from understudied sites – up to 20 points.
-
Securing collections by distribution of duplicates (or orphan collections) to other regional or international herbaria or shipping endangered collections to another herbarium – up to 20 points.

Methods & Funding (max. 40 points)
-
Match between the proposed budget and methods for the aims described – up to 10 points.
-
Perceived need, the extent to which the project will benefit from IAPT funding: e.g., due to active floristic work or contribution to poorly collected sites, due to threatened conditions of collections, and for the degree of involvement of others (outreach and education). We give more points for herbaria in low- and middle-income countries – up to 20 points.
-
Sharing duplicate specimens with other herbaria – up to 10 points.
This proposal scores:
/40
Broader Impacts (max. 40 points)
-
Degree of regional importance of the collection or the taxonomic importance of the targeted collection – up to 10 points.
-
The project will yield durable benefits (specimens, digitized metadata, databases, websites) – up to 15 points.
-
The project involves outreach/mentoring and broad dissemination – up to 15 points.

Plan:
The workflow of the project is envisaged as follows; Fabricating and setting up a digitization station will be the first step. As the next step we are planning manual scanning of the herbarium sheets and digitization of the associated data. The herbarium sheets will be barcoded simultaneously. The scanned images (in tiff/ jpg format) will be color and tone corrected using GNU Image Manipulation Program (GIMP). The images and the associated digital data will be curated and incorporated into the Website of St. Berchmans College (www.sbcollege.ac.in) as an external link. The website will have search features and one can use the features to locate a specimen using accession number, family, genus, collector’s name or date. The advanced search fields intended include plant details and locality. Once the database is ready it will be tested for the algorithmic perfection and errors, if any, will be fixed. Depending on the availability of government grants we are also planning a revisit to the collection sites of the different accessions to make field images and to do a stock taking of the current condition. The field images will be eventually added to the database.
