Digitisation and curation of the EBUM Herbarium's bryophyte collection.

México

Database, Curate specimens, Digitally image, Ship to another institution

Cost (USD):

EBUM

Universidad Michoacana de San Nicolás de Hidalgo- Facultad de Biología

Objective:

General.- To curate, digitize and publish high-quality data and images for the EBUM bryophyte collection and strengthen local capacity in collection management.
- Digitize 900 bryophyte specimens for incorporation into the web portals of the Consortium of North American Bryophyte Herbaria and the Mexican Herbaria Network (via SYMBIOTA).
-Train undergraduate students in scientific collection management, including database and specimen digitisation.
- Improve the physical conditions of the collection by acquiring appropriate storage cabinetry for herbarium packets of mosses and liverworts.

Timetable:

Months Key activities
1-3 Review and clean specimen packets (remove soil/leaf litter). Select and clean new specimens that will be incorporated.
4-6 Update and verify the Excel database; assign new bryophyte numbering system and add collection code BRYO to all specimens. Print updated packets/labels. Re-house specimens.
7-9 Digitize specimens and labels; organize image on the dedicated computer. Arrange packets in the new cabinet alphabetically by genus, separating mosses and liverworts.
10-12 Upload records and images to SYMBIOTA and establish linkages to the Consortium of North American Bryophyte Herbaria and the Mexican Herbaria Network. Prepare final report.

Scoring Rubric

Reviewer's name:

Collection Improvement (max. 120 points)

  • Facilitating access to the physical collections by digitization (e.g., data entry, setting up database structure with an outline of the platform to be used, purchasing equipment, and imaging specimens) – up to 30 points.

  • Enhancing physical collections by improving the conservation status of specimens in the herbarium (e.g., better folders, protecting covers, mounting paper, labeling, etc.) – up to 30 points.

  • Curating specimens (e.g., updating families, species identification, identifying types) – up to 20 points.

  • Increasing our understanding of the flora or funga by making new herbarium specimens available, such as processing of backlog or collecting and mounting of new specimens from understudied sites – up to 20 points.

  • Securing collections by distribution of duplicates (or orphan collections) to other regional or international herbaria or shipping endangered collections to another herbarium – up to 20 points.

Methods & Funding (max. 40 points)

  • Match between the proposed budget and methods for the aims described – up to 10 points.

  • Perceived need, the extent to which the project will benefit from IAPT funding: e.g., due to active floristic work or contribution to poorly collected sites, due to threatened conditions of collections, and for the degree of involvement of others (outreach and education). We give more points for herbaria in low- and middle-income countries – up to 20 points.

  • Sharing duplicate specimens with other herbaria – up to 10 points.

/40

Broader Impacts (max. 40 points)

  • Degree of regional importance of the collection or the taxonomic importance of the targeted collection – up to 10 points.

  • The project will yield durable benefits (specimens, digitized metadata, databases, websites) – up to 15 points.

  • The project involves outreach/mentoring and broad dissemination – up to 15 points.

Plan:

Specimen packets will be reviewed to remove soil and excess leaf litter. New specimens will be selected, cleaned, and prepared. Re-housing into updated packets will be conducted as needed to ensure long-term preservation and improved handling. The existing Excel database will be reviewed, updated, and cleaned. A new numbering system exclusive to the bryophyte collection will be assigned, and the collection code 'BRYO' will be added. Geodata will be incorporated when possible using available locality information and standard georeferencing practices.Specimens and labels will be photographed using a dedicated digital camera setup (camera, tripod, memory card). Images will be processed, quality-checked, and stored in organized folders on a dedicated workstation.Cleaned records and images will be uploaded to the SYMBIOTA portal, enabling linkage of EBUM data with the Consortium of North American Bryophyte Herbaria and the Mexican Herbaria Network, making the collection broadly accessible for research, education, and conservation applications.
