Objective:

• Update the Herbarium database, ensuring access on the Forest Herbarium Website.
• Digitization of 3000 backlog specimens, including new Type specimens and Orchidaceae collection; and publish images obtained to be available in Virtual Herbarium MOLF.
• Curation of the collections, process and mount backlog specimens.
• Improve storage conditions and organization of collections by equipping them with cabinets and barcode software license.
• Train students in herbarium management, focusing on curation and digitization.

Timetable:

The project will be executed in 10 months.
a) Acquisition of equipment and supplies (3 weeks):
- First week: contact with suppliers and purchase
- Second and third weeks: installation and maintenance in the herbarium
b) Specimen processing (5 months):
- First week: Labeling of specimens considered for the project
- First to second month: Mounting, curing, and disinfecting specimens.
- Third month: Coding with barcodes
- Last month: Curing of pressed and alcohol-preserved specimens from the Orchidaceae collection.
c) Digitization and update of the Herbarium database (3 months): entering new specimen data into the database, capturing images, organizing into folders with backups.
d) Uploading to websites (1 month): Delivery of files and follow-up with the web programmer for the correct and complete upload of the database and images.
e) Project closing event (last week): The trained students will showcase what they have learned in a face-to-face talk within the Forest Herbarium (MOLF).

  • Facilitating access to the physical collections by digitization (e.g., data entry, setting up database structure with an outline of the platform to be used, purchasing equipment, and imaging specimens) – up to 30 points.

  • Enhancing physical collections by improving the conservation status of specimens in the herbarium (e.g., better folders, protecting covers, mounting paper, labeling, etc.) – up to 30 points.

  • Curating specimens (e.g., updating families, species identification, identifying types) – up to 20 points.

  • Increasing our understanding of the flora or funga by making new herbarium specimens available, such as processing of backlog or collecting and mounting of new specimens from understudied sites – up to 20 points.

  • Securing collections by distribution of duplicates (or orphan collections) to other regional or international herbaria or shipping endangered collections to another herbarium – up to 20 points.

Plan:

a) Specimen processing: Backlogged specimens (approximately 3000) will be reviewed for sorting, curation, and mounting. New type specimens will be barcoded. The Orchidaceae collection will be curated and reorganized, both pressed specimens and those preserved in alcohol. A curatorial assistant with previous experience will be hired.
b) Update the Herbarium database: Progress will be made on entering new records into the Excel database, taking into account the barcode column. The updated database will be uploaded to the MOLF Website with the support of a web programmer.
c) Infrastructure improvements: Specimens will be incorporated into the main herbarium collection and stored in metal cabinets. In addition, a license will be purchased for the use of barcode software and corresponding labels, to use the barcode scanner previously acquired with only the free version.
d) Digitization: Digitization area is equipped with a professional camera, light box and a computer with the software installed. The herbarium's established protocol will be followed to obtain high-resolution images in TIFF format, each coded with its corresponding entry number. These images will be backed up on an external hard drive. Finally, the images will be uploaded to the MOLF Virtual Herbarium with the assistance of a web programmer.
e) Train students: Students will engage in curation and digitization, beginning with training and culminating in peer teaching at the project’s closing event.
