Processing specimen backlog and improving the management of the Vietnam National Museum of Nature herbarium (VNMN)

Vietnam National Museum of Nature, Vietnam Academy of Science and Technology

Objective:

The VNMN herbarium is a unit of the Vietnam National Museum of Nature. Over 20 years, many researchers have built up a collection that includes ca. 68000 plant specimens, of these more than 500 types deposited, However, many specimens are still not determined and mounted, and none of them is digitized yet. Furthermore, these collections were not arranged systematically and abandoned due to the lack of funding.
We aim to: 1.) Process backlog specimens through specimen determination, mounting, and digitization; 2) Improve the management through through specimen arrangement and data update.

Timetable:

- From 1/2022 to 3/2022: Specimen determination
- From 3/2022 to 5/2022: Specimen mounting
- From 5/2022 to 7/2022: Specimen digitization
- From 8/2022 to 10/2022: Specimen arrangement
- From 11/2022: Database update
- From 12/2022: Report the results

Scoring Rubric

Reviewer's name:

Collection Improvement (max. 120 points)

  • Facilitating access to the physical collections by digitization (e.g., data entry, setting up database structure with an outline of the platform to be used, purchasing equipment, and imaging specimens) – up to 30 points.

  • Enhancing physical collections by improving the conservation status of specimens in the herbarium (e.g., better folders, protecting covers, mounting paper, labeling, etc.) – up to 30 points.

  • Curating specimens (e.g., updating families, species identification, identifying types) – up to 20 points.

  • Increasing our understanding of the flora or funga by making new herbarium specimens available, such as processing of backlog or collecting and mounting of new specimens from understudied sites – up to 20 points.

  • Securing collections by distribution of duplicates (or orphan collections) to other regional or international herbaria or shipping endangered collections to another herbarium – up to 20 points.

Methods & Funding (max. 40 points)

  • Match between the proposed budget and methods for the aims described – up to 10 points.

  • Perceived need, the extent to which the project will benefit from IAPT funding: e.g., due to active floristic work or contribution to poorly collected sites, due to threatened conditions of collections, and for the degree of involvement of others (outreach and education). We give more points for herbaria in low- and middle-income countries – up to 20 points.

  • Sharing duplicate specimens with other herbaria – up to 10 points.

Broader Impacts (max. 40 points)

  • Degree of regional importance of the collection or the taxonomic importance of the targeted collection – up to 10 points.

  • The project will yield durable benefits (specimens, digitized metadata, databases, websites) – up to 15 points.

  • The project involves outreach/mentoring and broad dissemination – up to 15 points.

Plan:

Specimen determination: Morphological characters will be analyzed and annotated by using stereo microscope and scanning electron microscope (SEM). The derived morphological characters will be compared with those of known plant species by consulting the protologues, type specimens, other herbarium specimens from worldwide herbaria and recent treatments for Floras of Vietnam and neighbouring countries (eg. China, Laos, Cambodia, Thailand, Myanmar,…).
Specimen mounting: We will use a preferable glue to mount specimens on acid-free paper. The glue will be slightly diluted. While mounting, the heavier weight will be used in special cases where the specimen is bulky and the normal weight paper will not support it. If flowers and fruits are obscured by other plant parts such as leaves try to manipulate the specimen so that those parts show. We will across gummed cotton strips to a few places along the stems. Loose pieces known to be from the specimen on the sheet will be placed in packets.
Specimen digitization: Specimens were scanned at 300-600 dpi, which captures an amazing amount of detail. These images will be shared to Global Plants where experts can determine and update names, students can learn about plants from Vietnam.
Specimen arrangement and data update: The specimens will be rearranged systematically according to the APG IV classification. Furthermore, the information will be also updated to database file previously designed by Vietnam National Museum of Nature.
