Objective:

This to enhance HDELTA HDELTA into a comprehensive virtual reference collection, offering accessible, identified specimen images to support various scientific studies. The project goals include:
-Enhancing the infrastructure of the collection for specimen preservation.
-Digitizing all specimens housed in HDELTA, ensuring comprehensive coverage.
-Acquisition of suitable equipment for specimen examination and image acquisition.
-Educational Outreach: Implementation of programs and resources to actively promote the dissemination of herbarium information to students and teachers.

Timetable:

Here's a proposed timetable for implementing the project:
Month 1-4: Planning and Assessment
Conduct initial meetings with stakeholders to define project goals and objectives.
Organize assessment events to evaluate the current infrastructure of the HDELTA Herbarium.
Analyze assessment findings and develop a plan for infrastructure enhancement.
Procure necessary materials and equipment for infrastructure improvements.
Implement measures such as climate control systems and pest management protocols.
Procure selected equipment.

Month 5-6: Digitization
Finalize the digitization workflow and protocols.
Acquire high-resolution imaging equipment
Train staff on digitization procedures and data management protocols.
Specimen examination and imaging.

Month 9-10: Data and Image Transfer
Conduct quality control checks to ensure data accuracy and completeness.

Month 11-12: Educational Outreach
Plan and organize educational events in collaboration with local institutions.
Develop educational materials and resources, including workshops, lectures, and online tutorials.
Host outreach events to engage students, teachers, and the community in the use of the herbarium for research and education.

Collection Improvement (max. 120 points)

  • Facilitating access to the physical collections by digitization (e.g., data entry, setting up database structure with an outline of the platform to be used, purchasing equipment, and imaging specimens) – up to 30 points.

  • Enhancing physical collections by improving the conservation status of specimens in the herbarium (e.g., better folders, protecting covers, mounting paper, labeling, etc.) – up to 30 points.

  • Curating specimens (e.g., updating families, species identification, identifying types) – up to 20 points.

  • Increasing our understanding of the flora or funga by making new herbarium specimens available, such as processing of backlog or collecting and mounting of new specimens from understudied sites – up to 20 points.

  • Securing collections by distribution of duplicates (or orphan collections) to other regional or international herbaria or shipping endangered collections to another herbarium – up to 20 points.

Methods & Funding (max. 40 points)

  • Match between the proposed budget and methods for the aims described – up to 10 points.

  • Perceived need, the extent to which the project will benefit from IAPT funding: e.g., due to active floristic work or contribution to poorly collected sites, due to threatened conditions of collections, and for the degree of involvement of others (outreach and education). We give more points for herbaria in low- and middle-income countries – up to 20 points.

  • Sharing duplicate specimens with other herbaria – up to 10 points.

To achieve these objectives, we will employ a multifaceted approach:
-Infrastructure Enhancement: We will conduct a thorough assessment of the current infrastructure of the HDELTA Herbarium, we will implement measures such as climate control systems, pest management protocols, and specimen storage solutions to optimize specimen preservation.
-Equipment Acquisition: This may include microscopes to ensure accurate and detailed specimen documentation.
-Data and Image Transfer: We will collaborate with experts in database management and biodiversity informatics to develop a streamlined process for transferring data and images from HDELTA to online platforms like Cria and JABOT. This will involve ensuring compatibility between our database systems and those of the target platforms, as well as establishing protocols for data validation.
-Educational Outreach: We will work closely with local educational institutions, such as schools and universities, to develop and implement educational programs centered around the HDELTA Herbarium. This may include organizing workshops, lectures, and guided tours of the herbarium for students and teachers, as well as creating online educational resources such as virtual tours and educational videos. Additionally, a series of educational events will be organized in collaboration with local educational institutions.
