Processing, digitisation, and creating a shareable database of herbarium collections from Northeast of India and Sky Islands of Western Ghats, India
India
Database, Digitally image, Process backlog, Ship, Conserve
Cost (USD):
1990
BHPL
Indian Institute of Science Education and Research Bhopal
Objective:
Mounting specimens to clear the backlog and digital imaging of the newly mounted specimens. Replacing folders with acid-free folders as part of herbarium maintenance. When duplicates are available, share them with the herbaria within India via local post. The mounting of the specimens is currently critical for improved utilisation of our collections by local and international students and researchers. Finally, collating the herbarium database to make it accessible to researchers and international herbaria, upon request.
Timetable:
Mounting, shipping, and digitizing - five months with three personnel
Collating database - four months - with one personnel
Scoring Rubric
Reviewer's name:
Collection Improvement (max. 120 points)
-
Facilitating access to the physical collections by digitization (e.g., data entry, setting up database structure with an outline of the platform to be used, purchasing equipment, and imaging specimens) – up to 30 points.
-
Enhancing physical collections by improving the conservation status of specimens in the herbarium (e.g., better folders, protecting covers, mounting paper, labeling, etc.) – up to 30 points.
-
Curating specimens (e.g., updating families, species identification, identifying types) – up to 20 points.
-
Increasing our understanding of the flora or funga by making new herbarium specimens available, such as processing of backlog or collecting and mounting of new specimens from understudied sites – up to 20 points.
-
Securing collections by distribution of duplicates (or orphan collections) to other regional or international herbaria or shipping endangered collections to another herbarium – up to 20 points.

Methods & Funding (max. 40 points)
-
Match between the proposed budget and methods for the aims described – up to 10 points.
-
Perceived need, the extent to which the project will benefit from IAPT funding: e.g., due to active floristic work or contribution to poorly collected sites, due to threatened conditions of collections, and for the degree of involvement of others (outreach and education). We give more points for herbaria in low- and middle-income countries – up to 20 points.
-
Sharing duplicate specimens with other herbaria – up to 10 points.
This proposal scores:
/40
Broader Impacts (max. 40 points)
-
Degree of regional importance of the collection or the taxonomic importance of the targeted collection – up to 10 points.
-
The project will yield durable benefits (specimens, digitized metadata, databases, websites) – up to 15 points.
-
The project involves outreach/mentoring and broad dissemination – up to 15 points.

Plan:
Four temporary staff will be supported - two for mounting specimens, one for digital imaging, and one for collating the herbarium database that will be shared with international herbaria and with researchers, upon request. At least 1000 specimens will be mounted at the labour cost of INR 87 to 100 ( i.e. $1 to $1.15 per sample). The mounting material is available from grants available from the Government of India. However, folders made from acid-free paper will be purchased to replace the current folders. Duplicates will be shipped to local herbaria and received from local herbaria via local speed post.
We will image at least three vouchers for each species from different locations, and the online database will include part of our extensive metadata along with digital files of the herbarium and field images. Imaging equipment and SLR cameras are available and therefore funds are only being requested for labour costs ($400 or ~INR35000). The developed databases will be shared with at least two collaborating herbaria (SING - Singapore and RBGE - Royal Botanic Gardens Edinburgh), as well as with all local forestry offices that have approved our research and collection permits in the past 11 years. The presence and accessibility conditions for the digital files will be prominently advertised on social media and the TrEE lab website https://treelab.wixsite.com/tree/, although the databases will be shared only upon request as per the biodiversity laws.
