Mobilizing EIF Herbarium Collections: From Dark Data to Global Biodiversity Resource

Objective:

General Objective:
Complete and publish the vascular plants collection database of the EIF Herbarium.

Specific Objectives:
1. Digitize labels of missing specimens (~48%) in the vascular plants collection database.
2. Publish the entire database of the EIF vascular plants collection in GBIF.

Timetable:

The projects timeline considers 4 months to achieve our objectives. Starting Month 1 we will recruit and train a technician to perform label digitization and data entry following Darwin Core standards in our current database. During Months 1, 2, and 3 the technician will check the vascular plants collection systematically, assigning accession numbers and curating specimens when necessary, and will enter label data in our database for specimens currently missing. Data entry and label digitization will conclude during the first half of Month 4. The project will finish on Month 4 through the publication of the complete database in GBIF and submission of the final report to IAPT.

  • Facilitating access to the physical collections by digitization (e.g., data entry, setting up database structure with an outline of the platform to be used, purchasing equipment, and imaging specimens) – up to 30 points.

  • Enhancing physical collections by improving the conservation status of specimens in the herbarium (e.g., better folders, protecting covers, mounting paper, labeling, etc.) – up to 30 points.

  • Curating specimens (e.g., updating families, species identification, identifying types) – up to 20 points.

  • Increasing our understanding of the flora or funga by making new herbarium specimens available, such as processing of backlog or collecting and mounting of new specimens from understudied sites – up to 20 points.

  • Securing collections by distribution of duplicates (or orphan collections) to other regional or international herbaria or shipping endangered collections to another herbarium – up to 20 points.

Plan:

The requested grant will directly address the incompleteness of the EIF vascular plants collection database by funding a trained technician during four months to undertake the full label-digitization of the vascular plants collection by systematically checking every specimen, assigning missing accession numbers, and completing data entry for the ~9,000 specimens missing from our vascular plants database. This comprehensive database will enable informed collection management, allowing the EIF Herbarium to identify and target specific taxonomic and regional gaps in future collecting efforts as well as optimize our collaborations with other herbaria.

Ultimately, the completion of the database will allow for the publication of the entire collection on GBIF by updating our current dataset (https://www.gbif.org/es/dataset/500e7c7f-bacd-48c9-ace0-6ce9cb749ac7) and continuation of the image digitization process of the full collection, ensuring that Chile's valuable biological heritage becomes a global, accessible, and free-to-consult resource. By publishing 100% of the collection’s label data, we will provide a fully indexed, searchable database, improving management efficiency and supporting new taxonomic and regional studies.
