Backlog processing and digitalization of the main collection of the Herbarium DDMS, Central-West Brazil

Universidade Federal da Grande Dourados

Objective:

The Dourados Herbarium (DDMS) comprises a collection of ca. 11.000 specimens available online and ca. 5.000 specimens in the backlog (see https://specieslink.net/col/DDMS/). Most collections are from central-western Brazil. The main objective of DDMS is preserving specimens and enhance the accessibility of the collection to the community. The grant will be invested in the following improvements:
1) Increase the collection by processing the backlog with ca. 5.000 specimens;
2) Digitalize half collection and associate the images with the records available online.

Timetable:

To achieve objective 1) we will training one undergrad student to process at least 100 specimens per working day (4-6 hours/day) for 10 months, resulting in 5,000 specimens. We expect to completely incorporate the backlog in the Herbarium DDMS main collection. 2) We will training one undergrad student to take at least 60 photographs per working day (4-6 hours/day) for 10 months. It includes image treatment and associate photographs to the online records in JABOT and SpeciesLink. We expect yield 3,000 high-resolution images of the sheets. If granted, we will provide financial support to two undergrad students of D$ 100/month (R$ 500/month) each for 10 months.
Considering that any loss or damage to specimens is a tragic event because of the unique nature of the collections, we are convinced that the Herbarium DDMS and its associated collection will be greatly benefited if granted.

Scoring Rubric

Reviewer's name:

Collection Improvement (max. 120 points)

  • Facilitating access to the physical collections by digitization (e.g., data entry, setting up database structure with an outline of the platform to be used, purchasing equipment, and imaging specimens) – up to 30 points.

  • Enhancing physical collections by improving the conservation status of specimens in the herbarium (e.g., better folders, protecting covers, mounting paper, labeling, etc.) – up to 30 points.

  • Curating specimens (e.g., updating families, species identification, identifying types) – up to 20 points.

  • Increasing our understanding of the flora or funga by making new herbarium specimens available, such as processing of backlog or collecting and mounting of new specimens from understudied sites – up to 20 points.

  • Securing collections by distribution of duplicates (or orphan collections) to other regional or international herbaria or shipping endangered collections to another herbarium – up to 20 points.

Methods & Funding (max. 40 points)

  • Match between the proposed budget and methods for the aims described – up to 10 points.

  • Perceived need, the extent to which the project will benefit from IAPT funding: e.g., due to active floristic work or contribution to poorly collected sites, due to threatened conditions of collections, and for the degree of involvement of others (outreach and education). We give more points for herbaria in low- and middle-income countries – up to 20 points.

  • Sharing duplicate specimens with other herbaria – up to 10 points.

Broader Impacts (max. 40 points)

  • Degree of regional importance of the collection or the taxonomic importance of the targeted collection – up to 10 points.

  • The project will yield durable benefits (specimens, digitized metadata, databases, websites) – up to 15 points.

  • The project involves outreach/mentoring and broad dissemination – up to 15 points.

Plan:

Herbarium DDMS has a main collection with a 32 m² climatized room. The University provides the basic material for specimens processing and shipping. However, 5,000 specimens are stored in cabinets allocated in the corridor. Although backlog specimens are accommodated in plastic bags to mitigate bug eating, it does not completely prevent sheet deterioration. Therefore, we are running against time. Processing material is supported by students who are interested in botany and scientific collection management. We sought funding to support enthusiastic students to work with botany and enhance services provided by the Herbarium DDMS. We are working with two priorities: 1) process the backlog with ca. 5,000 specimens, digitize and incorporate in the collection; 2) digitalize half of the main collection and associate it with records available online. We expect to perform these objectives concomitantly. 1) We have two desktop computers to databasing backlog using JABOT (http://ddms.jbrj.gov.br/v2/consulta.php) with records shared to SpeciesLink monthly (see https://specieslink.net/search/ > select box DDMS in “acrônimo”, then “Registros”). 2) An imaging station with an attached Canon EOS Rebel T5 to capture high resolution photographs of the sheets is available in the main collection room. Softwares needed to capture and treat photographs are installed in an attached notebook according to the manual powered by Botanical Garden of Rio de Janeiro.
